Vermont American
SmartMessenger System

OVERVIEW:
In order to meet ISO 9000 standards, Vermont American was required to move their existing issue tracking process from a paper based program to an eForms (Electronic Forms) program.

 

PROCESS:
Vermont American contracted with EITALL to performing these task. EITALL analyzed their existing paper trail process and proposed an automated solution that provided many value-added components.

 

Additionally, EITALL proposed the customization of our existing SmartMessenger application as a value-added solution to further enhance Vermont American's ISO 9000 initiative.

 

EITALL developed a project plan document explaining the workflow automation solution that would meet their requirements. After a presentation of the plan and it's acceptance, EITALL began development of a system which included the following components:

Created (2) eForms Conversion of their NCMR & CAPAR paper forms to electronic forms.
Updated EITALL's SmartMessenger Application to Support VA's ISO 9000 Initiative EITALL customized a version of our SmartMessenger application, integrating it with the backend database that maintained their Issue Tracking System data.
Updated the SmartMessenger Email Messaging Component to Process VA Issues Sign-Off requirements Not Fulfilled. The email messaging component of SmartMessenger was updated to send daily reminder messages to Vermont American personnel responsible for issue sign-offs with an email containing a link to the corresponding issue entry screen. By clicking on the email link, the recipient was taken to the issue via a secured login so they could perform there overdue sign-off requirements.
Updated the SmartMessenger Email Messaging Component to Produce VA Issues Resolution Reports. The email messaging component of SmartMessenger was updated to send daily and weekly reports to Vermont American's Quality Manager on the status of all issues currently opened.

The included (7) reports covered various stages of issue states, sign-off statuses, customer crediting processes, follow-up plans not implemented or needing QM approvals, corrective action dates passed and the arrival of planned dates of implementation.
Updated the SmartMessenger Database Component to Query the VA Issue System database The database engine of SmartMessenger was updated to query the VA Issue System database for all issues currently opened and gather required report criteria.

 

In addition to the new corporate issue tracking intranet, EITALL customized and deployed their existing SmartMessenger application to provide value-added daily and weekly email reminder messages and various email reports to the responsible personnel and the QM.


EITALL assisted with system set-up, QA and the overall deployment processes.
